Privacy Policy

Last updated: 13 August 2026

Chiltern Garden Management (“CGM”, “we”, “us”) is responsible for the personal information we collect through this website and when providing garden services. This policy explains how we use it.

Information we collect

When you contact us or request a quote, we may collect your name, telephone number, email address, postcode or property address, details of the work requested, preferred contact method, and photographs you choose to send. If you become a client, we may also hold service, invoice, payment and garden-record information needed to manage our work.

Why we use it

We use this information to respond to enquiries, prepare and manage quotations and services, arrange visits, communicate about your garden, keep business records, and protect the security of our website and client portal. We rely on steps taken at your request before entering a contract, performance of a contract, legal obligations, and our legitimate interests in running and improving our business. We only use contact details for separate marketing where we have an appropriate lawful basis and you can opt out at any time.

Who receives it

We use service providers that help us run the website, email, file storage and client portal. They process information only as needed to provide those services. We do not sell personal information. We may disclose information where required by law or to protect our legal rights.

How long we keep it

We keep enquiries only for as long as reasonably needed to respond and follow up. Client, invoice and tax records are retained for the periods required by law and for the management of our services. Garden photographs and records are retained while useful to the client relationship, unless a longer retention period is necessary for legal, insurance or dispute purposes.

Your rights

You may ask for access to, correction of, deletion of, or restriction of the personal information we hold about you, and you may object to processing based on legitimate interests. You can also ask for a copy of information you supplied where applicable. To exercise a right, contact us using the details below. You may complain to the Information Commissioner’s Office.

Security and transfers

We use reasonable technical and organisational measures to protect information. No online service can guarantee absolute security. Some service providers may process data outside the UK; where this occurs, we use appropriate safeguards required by applicable law.
